Stop Re-typing Vendor Estimates Into Your Spreadsheets
If you run a contracting or trades business, you already know the drill: a vendor sends a PDF estimate, your office manager opens it next to a spreadsheet, and they spend 20 minutes typing in line items, quantities, and prices. Multiply that by 10 estimates a week and you have a half-day of pure copy-paste each week, plus the typos that sneak through and end up in your job costing later.
The Estimate Analyzer is a free tool that does that work for you. Drop any vendor's PDF estimate into the page, and within seconds you get clean, structured line items, totals, and tax broken out — ready to paste into your job costing sheet, your accounting software, or wherever your numbers live.
What the tool actually does
Behind the scenes the analyzer runs your PDF through a vision-capable AI model that reads the document the way a human would: scanning columns, matching descriptions to quantities and prices, and pulling out the subtotal, tax, and grand total even when they're laid out differently from one vendor to the next.
It works with estimates from steel suppliers, lumber yards, electrical wholesalers, plumbing distributors, equipment rental companies, subcontractor bids, and most other PDFs you receive from vendors in the trades. No template setup, no field mapping, no training required — drop the file and read the results.
Who it's for
We built this tool for the people we work with every day:
- Office managers and bookkeepers at construction companies who handle inbound vendor paperwork.
- Project managers and estimators who need to compare vendor pricing across bids without re-keying numbers.
- Owners of subcontracting and specialty trades businesses (steel, electrical, mechanical, plumbing, concrete, masonry, framing) who want job costing data without the data entry tax.
- Bookkeeping and accounting firms that serve trades clients and want to speed up vendor bill processing.
Privacy and limits
Files are processed on the fly and deleted immediately after extraction — we don't store your estimates, your vendor data, or anything else from the PDF. There's no account to create, no signup form, and no usage cap for normal use. The only practical limits are the file itself: PDFs only, up to 10MB, and up to 10 pages per document.
If you need higher limits, native integrations with QuickBooks or your job costing software, or extraction that runs automatically the moment a vendor email arrives in your inbox, that's exactly the kind of workflow our team builds for clients. The free tool is the same engine, just without the plumbing.
Want this to run automatically?
Most of the contractors we work with don't want to upload PDFs one at a time — they want every vendor estimate, invoice, and receipt extracted and routed the moment it lands in their inbox, with the data flowing straight into QuickBooks, their job costing sheet, or their project management tool.
If that sounds like the kind of back-office cleanup you've been putting off, book a free workflow audit and we'll map out what an automated estimate-and-invoice pipeline would look like for your specific stack.
